Deans Updates - A listing of search, affiliation and institutional updates was included at Attachment 2 of the agenda packet. Discussion Items Deans Comments - Dean Krugman officially welcomed and introduced Wendy Macklin to the SOM Executive Committee. She is the new chair of the Department of Cell and Developmental Biology. He invited those present to introduce themselves around the table. The student Honor Council will present its findings and recommendation from a recent Honor Council hearing today and Dr. Krugman provided the background that the Schools Honor Council was established in about 1907 by the University Regents and is the oldest in the nation. It is a student run organization whose purpose is to review potential honor code violations, report findings and make recommendations. Per protocol, all hearing findings and recommendations are brought to the SOM Executive Committee. The Executive Committee role is advisory to the Honor Council. The Neurology chair search will conclude its 1st round of interviews shortly. A draft letter of offer has been sent to Nanette Santoro, candidate for OB-GYN chair. Three Cancer Center Director candidates are currently being scheduled for their 3rd visits to campus and will conclude by the end of August. Dr. Krugman would like to hear from the members with regard to their perspective of how the cancer center is doing. Four Pharmacology Chair candidates have been scheduled for 1st round interviews and those will be complete by the end of July. The search firm for the Crnic Institute Executive Director position has brought forward some very interesting candidates, who all remain confidential at this time. Searchable management tool and SOM mandate of its use for evaluations and collaborations in research - The members discussed the pros and cons of the DOMINO system now in use by the Departments of Medicine, Family Medicine, Pediatrics and partially by Anesthesiology that is reported by all who currently use it to be adaptable to each department and automates access to pertinent faculty information. The system reportedly is a little labor intensive up front for the faculty member, but requires minimal effort in subsequent years. The system is reportedly a major asset during the performance evaluation process, helpful in recruitment because of the search capability and helpful to faculty for tracking their academic progress toward promotion and tenure. Those who use the system report that the language is exactly what their department uses, and can be built for department-specific purposes. It was reported that the most prominent pushback regarding bringing this system into play system-wide is at the system admin level because of the InfoEd functionality unknowns, and also how to link the databases to minimize redundancies (if any). It was suggested that David West be invited to an upcoming meeting to demonstrate the system. Matriculation Ceremony - The new students will begin orientation on August 10th and conclude their orientation on August 13th with a matriculation ceremony. During the matriculation ceremony, the Dean of Student Affairs introduces each student and tells where they are from. Then the students are presented with a white coat and also with a stethoscope. The stethoscopes are provided by the Alumni Association and the Alumni Association has asked to be a part of the ceremony by having their representative present the stethoscopes to the students. Dr. Krugman asked the members if there were any objections to this idea. There were no objections by those present to Alumni Association participation in the matriculation ceremony. Dean Krugman encouraged all present to attend or to send a representative from their department as this is a ceremony that is very meaningful to the students and their families. GME Report - Associate Dean Carol Rumack provided a report on duty hours to the SOM Executive Committee. Two positions have been added in Surgery as a result of the duty hours mandate: An associate program director, Walt Biffl and a full-time program coordinator, Claire Travis. The two conduct regular duty hour monitoring and provide weekly reports. A template has been developed for all rotations and problems with the duty hours reporting program software have been reported. It appears that there will be no 16-hour shifts and no 80-hour week limitations put into play at this time. The letter to the RRC is due August 1st. When asked where we stood with regard to the rest of the nation on the frequency of violations, Dr. Rumack reported that we are in good company, but the main issue is that we are acting on the reporting piece and that is positive for the school. There are problems at TCH, but the school has no choice but to act on violations that are reported - and Dr Rumack cautioned to expect problems in the next week or two with staffing in many areas, not just at TCH. There are 2.5 new funded positions at UCH and 1 at DHHA. The rotation at St Joseph has been moved to UCH. Currently there is no way to validate housestaff reporting. A reported violation for a department does not translate as an institutional violation. Pediatric Surgical Subspecialty Update - At Dr. Krugmans invitation, Dr. Moritz Ziegler provided an update on the pediatric surgical subspecialties indicating that chairs of 8 of the 10 pediatric surgical subspecialties have met sequentially with their divisions and are currently circulating a draft petition document to request department status. He expects the document to be ready to submit this summer. LCME Site Visit Update - Dean Krugman reported that in late June the LCME conveyed grave concern that since 1995 no progress has been made in Diversity at the School and also expressed grave concern about the level of medical student debt when they leave the institution. The LCME understands that both relate back to the lack of general funding. While there is no question the school has been accredited again, the school has been cited for these areas. As a result, there have been new meetings with the LCME visitors that have included Chancellor Wilson and CSAVC for Administration and Finance Teresa Berryman. The President has agreed to provide $2M per year for 5 years and these dollars have been designated as student scholarship funding specifically to address the diversity concerns. Other ideas are being pursued to address scholarships and diversity long term as well as other ongoing issues. A major university fundraising campaign will begin shortly and the dean has pitched that this fundraising campaign must make this campus a priority. Sr. Associate Dean for 鶹ý Rob Feinstein reported that the school is looking at multiple strategies to make the LCME improvements that include recruiting diverse residents perhaps by developing sub-internships and other visitation opportunities and by establishing a diverse faculty group they can meet with. They are also looking for ways that diversity flows over staff which means the staff that touch the students. The latter may entail changes in policy and changes in the selection committee. About 60-65 students qualify and are offered acceptance into our program, but we lose them in bidding wars to other institutions because we have been limited in our ability to subsidize their expenses. Many SOM and UCD individuals have been working on a pipeline for students and we need to derive funding to support them when they enter our program. Miscellaneous discussion - Dr. Bill Betz asked if there were plans to include a discussion on a broader level than the 6 topics planned for the Research Retreat on November 14th. The current agenda includes 1 day with potential to spill over to an additional day. The suggestion was made to include a component the evening before as well. Dr. Krugman invited the department chairs to give a brief overview of their departments. Each reported on their recruitment, clinical and research activities. Honor Council Report - Leah Swanson, Honor Council Representative and 3rd year medical student presented the findings and recommendations of their recent Honor Council Hearing. Having heard the findings and recommendations, the SOM Executive Committee agreed to suspend further consideration pending the outcome of additional information. The meeting adjourned at 9:50 am. . School of Medicine Executive Committee Minutes July 21, 2009 Page PAGE 2 of NUMPAGES 4 ATTACHMENT 1b 78egh k / 0 ' ) * f !
